Create presentation reports for Microsoft Project with Milestones

Milestones Professional offers a direct interface to Microsoft Project, making it easy to generate presentation report formats beyond the standard formats offered by Microsoft Project. Build a schedule using one of Milestones many built-in templates or build one “free-hand” and link it back to Project.  Either way, the schedule can be “refreshed” or updated when the Project dates change.  

In Milestones Professional, it's possible to create and update schedules from Microsoft Project schedules without Project being installed.

 

With Milestones Professional’s interface to Microsoft Project, you can:

  • Use a simple wizard to choose how to present your Microsoft Project schedules.

  • Create custom Project import templates and add them to the wizard.

  • Keep presentation schedules up-to-date using “refresh.”  Update a single Milestones presentation schedule from one Microsoft Project schedule or from several.

  • Easily add new Project tasks to the Milestones schedule.  Add them in one at a time or as a group.  

Create reports using a simple wizard

On the Connections tab, choose Create Report from Project or Create Report from Project Server to begin the Project to Milestones Wizard.

The Project to Milestones Wizard offers a visual representation of the schedule as it is created, allowing you to see the effects of the formatting choices you make in a dynamically updated screen.

The wizard offers many Microsoft Project presentation templates.  Pick one of the built-in project plan templates or use your own custom project template to begin. Follow the prompts and watch as your Microsoft Project information is brought into a professional-looking Milestones schedule.

    Build a "Free Form" Presentation Schedule and link it to Microsoft Project

Keep the presentation schedule updated with refresh

Do you have a unique presentation format? Do you have one or more Microsoft Project schedules which you need to present at once?

It’s possible to design a presentation chart “free-form” and link it to your Microsoft Project schedule or schedules for future updates.

Just build the presentation schedule and “tag” to link it to one or more Microsoft Project schedules. Once built and tagged, use Milestones refresh to keep the schedule up-to-date when Microsoft Project dates changes.

Manually tagging a milestone chart is easy.  Use the right click menu option Link to active MS Project Task. Once the Link to active MS Project Task feature has been used, Milestones will retain the previous settings chosen (the date field and the ID for tag) and allow you to link symbols similarly.

Create swimlane schedules for Microsoft Project schedules

Problem: A Microsoft Project schedule might have 30,000 tasks.  A one page presentation schedule is a desired result.  It is desirable to be able to select individual tasks within the Microsoft Project schedule and have these individual tasks display together (on one row in the resulting Milestones presentation schedule).

Solution: Reserve a text field in the Microsoft Project schedule.  Use this as the "code" field.  Come up with a scheme for labelling the tasks to display (only label the tasks to display on the presentation schedule)  Label the tasks.  Then import into Milestones Professional.  Items will be grouped by code on the resulting chart:

Keep the presentation schedule up to date as the Microsoft Project dates change, using “Refresh”

"Refresh" refers to updating symbols' dates, column text, and column values in Milestones Professional with the latest information in the Microsoft Project files that were used to create the Milestones schedule.

    Update from multiple Microsoft Project schedules

If you have a list of Microsoft Project schedules which refresh a single Milestones Professional schedule, here’s a great way to keep them up to date:

  • Several Microsoft Project files can be added to the Milestones "refresh list.  Each Project schedule is assigned a “nickname.”  

  • Build the Milestones Professional schedule using the nicknames for symbols on the schedule.  

  • When the Milestones Professional schedule is refreshed, the refresh list is used to update the schedule.

Notes:

  • Schedules can be maintained by multiple individuals and brought together by someone who would only need “read-only” access to create the presentation chart.

  • Control over numbering scheme assures guaranteed unique numbering.

Milestones Professional’s Automation Interface

Using OLE Automation, a program that you develop in Visual Basic can be used to automate schedule production using data from any source to which you have access.
