Build a free-form presentation schedule and update it from Primavera

It's possible to build a schedule such as this one in Milestones.  Then, symbols can be "tagged" so that they can be updated from an file exported from Primavera. Symbols are tagged with the Primavera Activity ID (exported as Text 1), followed by the name of the date field and the name of the field to be used for symbol text.  Once built and tagged,  "refresh" the schedule.

Tag a symbol to link it to a Primavera task

Tag each symbol with the corresponding unique identifier, date field, and an optional field for Symbol Text:

1. Double-click a symbol to access the Symbol Properties.

2. Click the Symbol Links tab.

3. For Automation Tag, enter the Primavera Activity ID value and date field name, separated by a comma with no spaces.  Example: CR1234,start

4. To attach a value from a Primavera field as symbol text, add another comma and the name of that field, with no spaces.

Tag each row of the Milestones schedule with the corresponding unique Activity ID from the Primavera file so that column values which are tagged will be updated with values from the Primavera XML file.

In Milestones:

1. Double-click a task row.

2. For Automation Tag on the Cell Settings tab, enter the appropriate Unique ID value

Keep the presentation schedule up-to-date with dates from Primavera

Now that the schedule’s task rows, column headings, and symbols have been tagged, the schedule can be updated with data from the Primavera file.

1. Save the tagged Milestones schedule.

2. Choose the Connections tab in the Microsoft Project section.

3. Choose Refresh Previously imported Project.

4. From the list on the toolbar for Refresh Previously Imported Project, choose Refresh from Primavera XER File.

5. After selecting the XML file to be used, make selections in the subsequent dialog box.

6. Choose OK.
