Share and present schedules

Milestones Professional offers many ways to share schedules with others.  Share schedules with anyone, anywhere.

 

 


Save as PDF

Adobe’s PDF has become a universal document exchange format.  Within Milestones Professional, it’s easy to create a PDF.  Just select File | Save as PDF and enter a file name.    If the schedule has bookmarks, the PDF file will include a bookmark section and optional buttons for hyperlinks.

 

 

Copy all pages to PowerPoint

Choose Connections | Microsoft PowerPoint | Copy All Pages to PowerPoint.

Milestones will ask whether or not a new presentation should be created.  

If Yes is selected, Milestones will:

  1. Launch PowerPoint.

  2. Create a new slide for each schedule page.

  3. Create a metafile of each schedule page.

  4. Paste each metafile into each PowerPoint slide.

 

If No is selected, Milestones will:

  1. Refer to the open PowerPoint presentation.

  2. Create a new slide for each schedule page after the selected slide in the presentation.

  3. Create a metafile of each schedule page.

  4. Paste each metafile into each PowerPoint slide. 


Free Milestones Viewer

A Milestones Professional owner can freely distribute the Viewer to others who have a need to view schedules produced with Milestones Professional but do not have Milestones Professional installed.

Once the Viewer is installed, others can view the schedules shared with them.

Functions of the Milestones Viewer:

  • Open a Milestones Professional schedule.

  • Print a schedule.

  • Filter a schedule.

  • Copy and paste a schedule to another document.

  • Zoom controls.

  • Use Calendar View.

  • Use Continuous View.

  • View symbol notes.

  • Launch symbol hyperlinks.

  • Tooltip and hover time control.

  • Target shared charts, holidays, and symbols folders for better collaboration.

  • Find and Go To Page options.

 While Milestones Professional software, the software used to create and edit schedules, requires a license for each user, the Viewer is free and can be used by those who just need to view and print a schedule.  


Copy and Paste into a Document (Word, Excel, many others)

 

  1. While displaying the Milestones schedule page to be copied, choose Edit | Copy Schedule | Copy Metafile to Clipboard.

  2. A message appears informing that the metafile is on the clipboard.

  3. Toggle over to the other application (Word, Excel, PowerPoint, or other Windows application).

  4. Click Paste (or Paste Special). A metafile picture will appear.

  5. Repeat for other Milestones schedule pages. 


Publish as a set of HTML pages

Use Milestones’ Internet Publishing Wizard to quickly and easily create schedule graphics and HTML pages-ready for your web site. And you don’t have to know a thing about HTML.
Choose Internet Publishing on the Connections tab of Milestones Professional. The wizard will guide you through the process step by step.
Does your schedule have links to other schedules? If so, hyperlinks will be converted into web page hotspots with drilldown capabilities. Just publish the top-level schedule as HTML and all linked schedules become linked HTML pages as well. If your schedule has symbols with hyperlinks to web pages or other documents, hotspots will be created for these as well. 

Publish a Tiered Hierarchy


If your schedule is outlined, you can create a set of HTML pages called a “tiered hierarchy” with multiple HTML pages. On a tiered hierarchy set of HTML pages, the first HTML page generated is the top level, or summary schedule. When the summary bar is clicked, a second HTML page is opened which represents the level two tasks. If any of the level two tasks have underlying tasks, clicking any level two task will result in a subsequent HTML page. All of these HTML pages are generated automatically based on the outline schedule of the original Milestones Professional schedule.
 


 

Presentation mode

Use the Presentation view mode to present one or a series of separate Milestones schedules as a "slide show" with a full screen option and schedule manipulation controls.

Before using Presentation Mode, change the File | Printing | Printing Options setting to Scale to Fit Selected Paper Size. This ensures that the schedule pages will be scaled to fit the screen.

Present one schedule:
  1. Choose View | Viewing Options | Page in View: (drop down menu).

  2. Choose Presentation Mode .

  3. Choose Present the Current Schedule .

Present several schedules:
  1. Set up a master schedule. A master schedule is a list of schedules which can be merged together. When used with Presentation Mode, a master schedule controls the order of schedules to be presented.

  2. Choose View | Viewing Options | Page in View: (drop down menu).

  3. Choose Presentation Mode .

  4. Choose Master Schedule List contains Schedules to Present .

View in Presentation Mode with Full Screen option:

With the Full Screen option, the Milestones schedule fills the entire screen, without any visible controls.

  1. Choose View | Viewing Options | Page in View: (drop down menu).

  2. Choose Presentation Mode .

  3. Use Full Screen .

  4. See the list below for control keys to use in this mode.

Presentation Mode controls:

Manipulate the schedules while in Presentation Mode with these controls. On-screen buttons are not available with the Full Screen option.

    • Esc or Close Presentation button: exit Presentation Mode

    • Left Mouse Button : zoom in

    • Right Mouse Button : zoom out

    • Left/Right/Up/Down Arrow keys: scroll to the direction indicated when zoomed in

    • < Prev button: view previous page

    • Next > button: view next page

    • Zoom Reset button: return the zoom to fit-in-window

    • |<< button: exit Presentation Mode when only presenting one schedule; return to first schedule when presenting multiple schedules

 


Full screen view  

Full Screen mode displays the schedule at the largest size possible for the current monitor, by eliminating the toolbar, status bar and menus. The sidebar and/or toolbox are available if needed, but can be hidden.

Use Full screen view:
  1. Choose View | Viewing Options | Page View: (drop down menu).

  2. Choose Full Screen.

  3. Keys to use while in Full Screen view mode:

    • Esc or Ctrl+F - exit full screen mode

    • Right mouse click - for a menu of options

 Ctrl+F is the shortcut for entering and exiting Full Screen view mode.  Toggle between the toolbox buttons (arrow, plus, text, and drawing tools) by pressing the middle mouse button on any 3-button mouse or pressing the mouse wheel, which acts as the middle mouse button.


Export a schedule in JPEG, BMP, PNG or GIF picture formats

To produce a picture version of the schedule that can be shared with others as a bitmap, an Export Bitmap option is available.

Save a picture of the schedule on disk as a bitmap file:
  1. Click File | Export Options | Picture | JPEG Options.

  2. Choose a Compression Factor from 10 to 99 (or none). The lower the JPEG compression number selected, the smaller the file will be. However, the image quality will degrade accordingly.

  3. Click OK.

  4. Click File | Export Options | Picture | Export Bitmap File.

  5. For Save As Type, choose a picture file format.

  6. Enter a File Name and click Save.

To save the schedule as a Metafile (.WMF or .EMF), choose File | Export Options | Picture | Export Picture Metafile. Then name the file and choose Save.
